Emergency evacuation underway? Generate an Evacuation List of people on-site quickly and easily from a VisitorBook staff terminal or the VisitorBook Admin Portal.
There are multiple ways to run an evacuation in VisitorBook. This guide gives you a quick overview of the options. Refer to the linked guides for further detail.
General notes on evacuations #
Important:
- On a terminal, people on-site are grouped by visitor type and then sorted by alphabetical order by surname within each group. On the browser, people are sorted by alphabetical order of surname by default. It is possible to adjust the sort only on the browser.
- The visitor type (e.g. staff or visitor) and time of arrival are shown against each visitor.
Do you have the Student Sign-Ins module?
Important:
- The Student Sign-In module is an optional module that is automatically activated for educational settings. If this module is activated on your VisitorBook system, the evacuation list will show students who have arrived and left early.
- This is shown for information only. It is anticipated that students will be accounted for during an evacuation using registers.
- VisitorBook does not currently update school registers automatically.
Generate an Evacuation list on a staff terminal #
The most straightforward way to manage an evacuation is through the VisitorBook app on a terminal. This is an iPad or iPhone.
Important:
- You must have set up a terminal as a staff terminal to see the Evacuation option on the VisitorBook app.
- To run an evacuation on the app requires the use of Wi-Fi or mobile data. Bear this in mind if Wi-Fi is sketchy at your emergency muster point.
- Evacuations can be carried out on multiple devices, but see pointers in linked guide.

It is also possible to run an evacuation from the Admin Portal. You can either run it while logged in or print the list.
Tips:
- Want to run an evacuation via the Admin Portal while on the move? Bookmark your VisitorBook URL in your mobile browser.
- As with the app, you’ll need a reliable Wi-Fi connection or mobile data to run an evacuation this way.
- If Wi-Fi connectivity/mobile data is an issue at your emergency muster point, printing the list may be an option.
