How are QR codes used in VisitorBook? #
QR codes are printed on visitor labels generated when people sign in. These same QR codes can be used for signing out.
You can adjust settings that affect how many times QR codes can be used for signing in again in the future. For example, you can set QR codes to be permanently re-used (great if you have generated staff ID cards from the labels), used only once, or used for a set period of time. As a default, QR code validity is set for the visitor type (e.g. staff, visitor, contractor).

Set QR code validity for individuals #
If you’d like to adjust the way a QR code can be used for a particular person, you can set rules that are different from rules applied to visitor types. For example, you may want to allow specific people who visit your organisation regularly to use their QR code again while preserving the No Reuse rule for visitors in general. To do this:
- Log into your Admin Portal.
- Go to Manage People. There you will see a list of all current and past visitors.
- Navigate to the QR Code Validity column.
- The default QR status is shown. This is set by the visitor type to which the person is assigned.
- Next to the specific individual, click on the dropdown and select another option for QR code use from the options provided.
In the example in the image below, Millie is a regular visitor. While the QR code validity for Millie’s visitor type is set to No Reuse, the administrator sets Millie’s QR code so that it can be used for one month.


Note: Adjusting the QR code validity for the visitor type does not reset the QR code validity set for individuals when it is different from the default.
