Set up Custom Fields to capture additional sign-in information about visitors.
What are custom fields? #
Custom fields may be useful if you want to capture additional information about visitors when they first sign in. They can also help you tailor the information you require from different types of visitors on sign-in.
Activate the Custom Fields module #
The Custom Fields module is an optional module that is included in your VisitorBook subscription at no additional cost. The status of the module is shown on the System Settings > General page. It is shown as Active if it is available on your system.

Types of custom field #
There are three types of custom field.
- Type 1: Text field – prompts the visitor to add specific text. Terminal keyboard defaults to letters.
- Type 2: Number field – prompts the visitor to add a number. Terminal keyboard defaults to numbers.
- Type 3: Options field – prompts the visitor to select from pre-set options.
Add a custom field #
To add a custom field:
- Log into your VisitorBook Admin Portal.
- Navigate to User Settings > Custom Fields. The system opens up the Custom Fields page.
- Click the Add Custom Field button. The system opens up the Add Custom Field popup.
- Select the field Value Type: Text, Number or Option.
- Add a custom field name. The slug field auto-populates as you type in the name.
- If you are adding an Options custom field, add the required options. For example, you may want visitors to select lunch options from a fixed events menu. Click Add for each individual option.
- When you have finished click the Add button. The custom field appears in the list of current custom fields.


Assign custom fields to visitor types #
Once you have created custom fields, the next step is to assign these to visitor types.
- Navigate to User Settings > Visitor Types.
- On your selected visitor type, click on the dropdown in the Visitor Fields column.
- Select your chosen custom fields from the Custom Fields section.
Important:
- The number of fields (total and standard) you can assign to visitor types is limited. The limit varies but is usually around 10.
- While some other visitor fields are optional, custom fields can only be set as essential fields, meaning visitors must complete them to sign in.
- Some fields are standard in the system and cannot be edited. These are a combination of essential and optional fields.
Custom fields on visitor sign in #
Once you have added custom fields to a visitor type, these fields appear to visitors of that type when they sign into a VisitorBook terminal.

Custom fields on visitor labels #
You can also add up to three custom fields to printed visitor labels. To do this:
- Log into your VisitorBook Admin Portal.
- Navigate to System Settings > Labels.
- In the Label Custom Fields section, select your required custom fields from the dropdown list.
Important: You must have created custom fields before you can add them to the labels.

Custom fields on printed asset labels #
If you have the optional Assets module on your system, you can also add custom fields to printed asset labels.
